Advanced configurations for mapped domains in the Zoom app

You are able to control users’ ability to create Zoom accounts and user profiles with emails matching the domain you have approved as an associated domain for your account once your custom domain has been approved as an associated domain . If you want to prevent users from using this email domain outside of your account (both new and existing), you can do so by blocking use of this domain outside of your account or by forcing these users to log in with an email Mail address to register outside of your account.

In this article, you’ll learn about common configurations for managing your associated domain, how to notify users, and how it affects their performance.

This article will cover a number of topics including:

  • General configuration settings and their effects
    • Only manage users with the same domain
    • Manage users with the same domain and allow consolidation in that account
    • Manage users with the same domain, allow consolidation and register new users

Prerequisites for advanced mapped domain configurations

  • Accounts intended for businesses, businesses, or educational institutions
  • Administrator or owner rights for the account
  • Associated domains approved by the Associated Domains Committee

General configuration settings and their effects

After receiving an associated domain assignment, your account has access to three settings that help you control existing users associated with your email domain and allow users to create new profiles associated with your email Domain are linked after being granted an Associated Domain. In brief, these settings are as follows:

  • Managing users belonging to the same domain is as simple as: The user will be prompted to change the email address the user uses to create the Zoom account when attempting to create an account with an email address on that domain. Your domain requires users who aren’t members of your account and don’t use your email address to change their email address.
  • You should be able to consolidate users with the same domain into this account in the following ways: Those who already have an account will be prompted to consolidate it with the manager account as part of this process, or to change their login to use a different email address. There will be a time limit of three attempts before they are forced to choose between three different options to log into their account.
  • Allow users with the same domain to sign up for Zoom: An email address associated with the domain associated with the Zoom account can be used to sign up for an account via Zoom. It would be possible for a user to log in using the domain name associated with the domain, for example if the domain is mydomain.com. An email will be sent to these users informing them that their account needs to be activated. The next page they see after signing up will ask them if they want to consolidate their accounts or change their email addresses after signing up. The option to manage users with the same domain is disabled by default and you must enable it to enable this setting.
  • Note: To allow users with the same domain to consolidate their accounts, the Allow users with the same domain to consolidate into this account setting must be enabled for this to work. If you force users to use SSO to sign in, this setting cannot be enabled.

A user can do a variety of things when configuring the three settings available with an approved linked domain, but each combination has a different impact on how users use accounts created with your domain and activities that you can run with them. Below are some examples and their effects as you can see in the table below:

Only manage users with the same domain

If you enable the first option, Manage users with the same domain, you can do the following:

  • The next time they log in, existing users will be prompted to change their profile email address if they haven’t already done so.
  • When users create a new account with a domain-related email address, Zoom will send them an email informing them that they must contact their organization’s Zoom admin to obtain a Zoom account , or they will be asked to use a different email address . No account information is provided.

Manage users with the same domain and allow consolidation in this account

The following are the results if you select only the first two options, manage users with the same domain, and allow users with the same domain to consolidate into this account when you do so:

  • If an existing user wants to join the account managing that domain or change their email address, they’ll be prompted up to four times the next time they sign in. After three jumps, they will be forced to make a choice, or they can temporarily skip that choice.
  • When a new profile is created by a user with an email address in your domain, Zoom will email them to let them know they need to contact their organization’s Zoom admin to get a Zoom account or if they would like to use an alternate email address, they must contact their organization’s Zoom administrator. No information about the user’s account is provided.

Manage users with the same domain, allow consolidation and register new users

If you enable all options, manage users with the same domain, allow users with the same domain to consolidate into this account, and allow users with the same domain to log in to Zoom, there is a chance that the following scenarios could result:

  • A Zoom admin can see how many users exist outside of your account (although names or email addresses aren’t directly visible) and can have Zoom send you an email offering to share your email -Consolidate or change address to users that already exist outside of your account.
  • When a user uses their existing account to sign in to a new domain, they are prompted up to four times to either join the account or change their email address for the account that manages that domain. They can skip this decision as a temporary option, but if they skip the decision more than 3 times they will have to make a decision.
  • Users who create a new profile with an email address in your domain can complete the profile, but they must consolidate their account once they complete it.
