Change phone-licensed room settings in the Zoom app
You can customize the Zoom Phone display name, extension number, and caller ID after adding Zoom Rooms or SIP/H.323 devices.

How to access the settings
Note: Also, there are some global settings for the phone and policies that control specific features that can be enabled or disabled.
- Go to Zoom’s web portal and log in.
- The navigation menu should have a section called Phone System Management followed by a section called Users & Rooms.
- Depending on your preferences, you can choose Zoom Rooms or Cisco/Polycom Rooms.
- You can adjust settings for a room by clicking on its name.
Here are the options and information you will see:
Profile tab.
- Website (only visible if you have multiple websites): The site to which the room belongs is displayed. Move the room to a different location by selecting a different location from the drop-down menu.
- Package: The outgoing call packet can be assigned by clicking Assign. You can remove an assigned package by clicking * next to it.
- extension number: You can change the extension number associated with a room by clicking the Edit button.
Note: In some cases, extension numbers cannot be used because they are reserved. Extension numbers are limited to six digits. It is possible for extension numbers to have 2 to 5 digits if you have multiple sites and site codes enabled, and site codes can be between 1 and 2 digits if you have multiple sites. - Number(s): The extension numbers can be assigned to a room by clicking on the Assign button. There is only one setting that is visible once a package has been assigned to it.
- Emergency address: If you want to edit your room’s emergency address, click Manage. There is an option to choose any address assigned to a site, or the default address for a site if you have multiple sites.
- Outgoing Caller ID (only visible if you assign a package): For outgoing calls from the room, select the caller ID number from the drop down menu.
- Country (only visible when you assign a package): The country of an emergency address is displayed. Depending on the country, you may not be able to use reserved extension numbers for the room.
- Area code (only visible when you assign a package): Area codes for outgoing calls can be changed by clicking Set or Edit.
- Device type (only visible for Cisco/Polycom rooms): The Cisco/Polycom room name is displayed.
- Storage location for communication content: Manage locations for communication content.

Note: You can then specify how incoming calls are routed during those custom times after setting the custom times in the time zone setting. It is not possible to change these settings in Cisco/Polycom rooms.
- Business Hours: To change the user’s ability to answer calls during specific hours, click Edit. It is possible to extend business hours beyond 11:30 p.m. By manually entering a time, e.g. 11:10 p.m., you can set business hours in 10-minute increments.
- Closing Times: Closing times may also be adjusted if business hours are adjusted.
- Holidays: Holidays can be set by clicking Manage.
Call Handling Settings
- Ring device: Incoming ringing can be enabled or disabled.
- Ring Duration: In the following setting (When a call is not answered) you can specify how long the phone should ring before the call is processed.
- If a call is not answered: During the specified times, you can control what happens to unanswered calls.
- Play message then hang up: Ends the call after playing a custom message. You can customize audio by clicking Audio Library.
- Disconnect: No message will be played before the call is disconnected.
- Transfer to another extension: Another extension in the account can be used to transfer calls.
- Forward to External Contacts: An external contact can be forwarded to the account if it has a directory of external users.
