Direct sharing to Zoom Rooms
In Zoom Rooms, attendees can share files directly from their desktop clients (macOS and Windows) with just one click from the Zoom desktop client. Zoom Room Controllers have the ability to detect ultrasonic proximity by generating ultrasonic signals that can be detected by Zoom desktop clients through ultrasonic proximity.
- If the Zoom Desktop Client detects the signal coming from a Zoom Room and the attendee clicks Share Screen, the Zoom Desktop Client will automatically connect to the Zoom Room.
- It is possible to enable direct release by entering the release key, which is a string of letters that can be used when proximity detection is not available.
Note: The Zoom Room Controller is recognized through your laptop’s microphone, so you can share directly with proximity sensing. There are many factors to consider for proximity detection to work, such as the quality of the speaker and microphone on the controller and the quality of the laptop. The direct sharing method can be used when proximity detection is not working or when proximity detection is not working at all. Requirements for sharing directly in Zoom Rooms
- Meeting rooms require Zoom Rooms for Windows or Mac OS version 5.0.5 or higher
- The Zoom Rooms Controller for iOS must be version 5.0.5 or higher
- Zoom Rooms Controller for Android with a minimum version of Android 5.0.5 and a device that supports it
- For Windows or macOS, you must install the Zoom Desktop Client, version 5.0 or higher
Note: Proximity Sharing may not work properly on HP computers with Bang and Olufsen audio drivers if you have these drivers installed. - For Linux you need the Zoom Desktop Client (version 5.0 or higher).
Note: When sharing content, users must enter the meeting ID when using Wayland. - Zoom Rooms configured on an account
- Computers used for Zoom Rooms, their controllers, and sharing must be connected to the same network
For Android controllers, direct sharing with proximity detection is supported on the following devices: Samsung Galaxy Tab A 10.1″, Samsung Galaxy Tab A 8.0″, Samsung Galaxy Tab A 14″, LG Xoom, Crestron Mercury, Polycom Trio 8800, Polycom Trio 8500 , Poly Trio C60, Poly TC800, Logitech Touchpad, Logitech TAP IP and Crestron TSW-1060.
How to enable direct sharing for Zoom Rooms (admin)

Direct Sharing can be configured for all Zoom Rooms in your account by following the steps below:
- You can access the Zoom web portal by logging in.
- You can access Zoom Rooms by clicking Room Management in the navigation menu.
- Go to the account settings.
- Select the Meetings tab.
- It is possible to enable automatic direct sharing using ultrasonic proximity signals by clicking on the toggle switch at the bottom of the page. To confirm the change, click the Activate button when the confirmation dialog box appears.

If you want to use direct sharing with proximity detection for a number of Zoom Rooms in your account, follow these steps:
- To access the Zoom web portal, you must log in.
- You can access Zoom Rooms by clicking Room Management in the navigation menu.
- To enable automatic meeting start and end, click the hierarchy level you want to enable. By clicking on the name of a building you can activate all rooms in that building.
- To start a meeting, click the Meeting tab in the Locations option.
- Click the toggle next to the Use ultrasonic proximity signals to automatically share files with direct sharing option and click to turn it on. Verify the change by clicking Activate when the verification dialog box appears.
How to Use Direct Share with Proximity (User)
- You can use the Zoom Rooms controller to start or join a meeting.
- You can sign up using either the Zoom desktop client or the Zoom mobile app.
- Zoom desktop or mobile app users can share their screens by clicking or tapping Share screen.
- Click or tap Share when you’ve selected what you want to share.
Zoom Rooms displays your shared screen. In addition, you can control screen sharing.
Note: Zoom Phone calls can also be redirected to Zoom Rooms by proximity detection.
How to Use Direct Share without Proximity Detection (User)
Desktop client or mobile app
If proximity detection is not available on a Windows or macOS laptop, you can use the following procedure to share your screen:
- You can use the Zoom Rooms controller to start a meeting or join an existing one
- The iPad controller in the Zoom Room has a Share Content or Share Camera button that allows you to share content or camera.
- Select the Desktop tab from the menu.
- A “Laptop Screen Sharing” window will appear on both the TV and the controller in the Zoom Room, providing instructions for laptop users on how to share their screen with the Zoom Room. Zoom has a desktop client as well as a web browser that participants can use to share content.
- The Zoom desktop client and the Zoom mobile app can be accessed through the Zoom desktop client or the Zoom mobile app.
- Click Share (desktop) or tap OK (mobile) after entering the sharing key (or meeting ID), then click Share.
Note: - Your computer’s entire screen is automatically shared when you use any of these methods to share your screen. If you want to choose what to share, you should use direct sharing with Proximity or share.zoom.us.
- Mobile app: You must enter your meeting ID or sharing key.
- Desktop client: The release key is entered.
- You can share a screen or application by clicking or tapping on the screen or application you want to share.
On the Zoom Rooms display, you can see the shared screen that you have shared. Screen sharing controls can also be accessed from the Share menu.

Troubleshooting
When sharing directly in a Zoom Room, the following issues are common:
- It’s important to ensure your devices, especially the controller, are compatible with Zoom Rooms and running the latest version.
- Make sure your firewall is open to the required ports.
- When the lid is closed on a macOS laptop from 2018, the microphone is disabled using a T2 security chip. These devices cannot be shared directly when they are closed.
