How to invite others to join Zoom meetings

This article shows you how to invite more people to your meetings, whether you want to invite others to an ongoing Zoom session or to a scheduled meeting.

In addition, you can invite participants via audio conferencing (requires the audio conferencing schedule) or you can invite via a room system (requires the Cloud Room Connector add-on).

How to invite others to a meeting during a Zoom meeting

  1. Join the Zoom desktop client by signing in with your Zoom account.
  2. Join or start a meeting with your Zoom contacts.
  3. From the meeting control menu, click Participants.
  4. In the Participants panel, click Invite to start the meeting.
  5. There are a variety of options to choose from when inviting attendees:

Invite others to a meeting via email

  • Choose [ Default Mail ] opens the default email application (Outlook, iCal, etc.).
  • If you choose [ Gmail ] or [ Yahoo Mail ], your web browser will open and ask you to sign in to your Gmail or Yahoo account. If you are already signed in, a new email will be automatically created with the meeting information in the email body.

Invite others to a meeting from Contacts

  1. To access your contactsclick on the Contacts tab.
  2. You can either select a contact from a list or search for it.
  3. When you find the person you want to invite, click their name. Multiple contacts can be selected at the same time. Once you’ve done that, their names will turn light blue and they’ll appear in the list at the top of the window.
  4. You can now invite them by clicking the Invite button.

Invite others to a meeting URL or invitation text

If you want to send instant meeting information to other attendees, click Copy URL or Copy invitation .

When you click [Copy URL]the join link is copied and participants can join the meeting simply by clicking the URL.

Clicking Copy Invitation copies the entire text of the invitation. Paste the copied invitation by pressing Ctrl + V for PC, Cmd + V for Mac, or right-clicking on Paste.

How to invite others to a scheduled meeting

  1. Sign in to the Zoom desktop client with your email address and password.
  2. Then make an appointment.
  3. Go to the Meetings tab of the Zoom desktop client.
  4. Find the meeting you want to invite other attendees to and click the Copy Invitation button.

If you want to send this information to someone else, you can cut and paste it into an email or any other place you want to send it.

  1. Sign in to the Zoom web portal by entering your email address and password.
  2. Once logged in, click the Meetings link in the navigation menu.
  3. Then select the meeting you want to join.
  4. There is an option to add to your calendar right next to the time.
    • In the event that you click on Google Calendar or Yahoo Calendar, an event will be automatically created and sent to your chosen email service via the website you are visiting.
    • The .ics file generated by clicking Outlook Calendar will be imported into your Outlook calendar once you click it.
  5. Manually copying meeting information can also be done with Copy Invitation.
    • The meeting invitation text is displayed in a new window when you select Copy invitation.
    • Select Copy meeting invitation.
    • This can be copied and sent by email or other means.

  1. You can invite someone to a meeting by tapping Manage Participants on the controller and then tapping Invite on the screen.

  1. Launch Zoom’s desktop client and sign in with your Zoom account information.
  2. Go to the Meetings tab and click on it.
  3. Select the upcoming meeting you need an invitation to from the Upcoming tab on the left side of the screen.
  4. The invitation is copied to the clipboard when you click on it. You can now copy the meeting invitation to your clipboard once you click on it.

As long as the host has scheduled the Zoom meeting with certain configured settings, anyone can join or start a Zoom meeting without the host being present. There must be a setting to allow attendees to join before the host if the host disables the waiting room feature when scheduling a meeting.
