Scheduling appointments in Zoom Rooms with Google

Your Google Calendar can be used to schedule a Zoom Room. The Zoom Room Controller is added to the meeting link when the room is booked. Other users cannot book the room at this time because the room is shown as occupied for them.

How to schedule a Zoom Rooms meeting with Google

The Zoom Chrome Extension Plugin allows you to schedule using the Zoom Chrome Extension Plugin or the Zoom Firefox Extension Plugin.

With Google Calendar, you can schedule a meeting by following the steps below:

  1. Create a new event in Google Calendar by opening it and clicking the New Event button.
  2. Click the More Options button.
  3. Set the meeting settings to your liking.
  4. To make it a Zoom meeting, just click the Make it a Zoom meeting button.
  5. Click the Rooms link on the right side of the screen.
  6. If you want to book a room, search for it and click on it.
  7. As soon as it appears in the guest list, you can see it.
  8. On the Zoom Room Controller, you can hide the meeting topic (optional). The meeting appears as the user’s Zoom meeting.
    You can hide the meeting topic by selecting Private from the Default visibility drop-down arrow.
  9. The meeting can be webinar book page. Here is a list of planned by clicking Save.

How to start a meeting in the Zoom Room

In the case of a Zoom Room meeting scheduled for your account, you can start the meeting in the Zoom Room yourself without having to join the meeting from another device as the host.

  1. If you’re using a Zoom Rooms controller, tap Home on it.
  2. When you find the meeting entry, tap Start to start the meeting.
    Note: This controller replaces the meeting topic with the meeting topic from the user’s Zoom meeting if the meeting has been marked private.

How to book a room without a meeting

Whether you’re hosting a Zoom meeting or not, you can still book the room through Google Calendar if you wish.

If you would like to reserve a room without holding a meeting, please do the following:

  1. The first step in creating an event in Google Calendar is to open it.
  2. Click the More Options button.
  3. Enter the meeting settings for your meeting.
  4. Click the Rooms button on the right side of the screen.
  5. If you want to book a room, search for it and click on it.
    As soon as it appears in the guest list, it appears in the guest list.
  6. You have the option to hide the Zoom Room Controller from showing the meeting topic if you want it hidden. The meeting appears as the user’s Zoom meeting.

There is no start button for the meeting on the controller. If you edit the event and click Make a Zoom Meeting, the Start button will appear on the controller, or you can add the link to join the meeting to the description of the event and the event will become a Zoom meeting.
