Sending an event-wide message in Zoom Events

If there is an important announcement that needs to be broadcast, Zoom Events hosts can send a message to everyone who has registered for the event – before the event begins or after it ends – before or after the event ends. It is also possible to send a pre-event and a post-event message for each event that occurs in a series of events. There is also the option of sending up to two reminder messages to all registered persons either before or after the start of the event.

Note: There is a limit of two uses per event/event published. You can use it once before the event starts and once after it ends, but you cannot use it at the same time.

Requirements for sending an event-wide message to all registrants of a Zoom event

  • Zoom desktop client
    • Windows: 5.7.6 or higher
    • macOS: 5.7.6 or higher
  • Mobile Zoom client
    • iOS: 5.7.6 or later
    • Android: 5.7.6 or higher
  • Pro, Business, Enterprise or Education account
  • Stripe or PayPal business account is required to create paid events
  • Zoom Events License

Remarks:

  • Currently there is a dependency with the Windows Webview package for Windows platforms; While version 5.7.6 supports Zoom events, the experience for hosts may be blank when using the newer version of the software.
  • To take advantage of the latest Zoom events and webinar features, hosts are strongly recommended to update their Zoom desktop client or mobile application to the latest version to access these features.

How to send an event-wide message to a one-time event

Before an event begins, you can send an event-wide message to all registrants by sending the following message:

  1. Please log into Zoom Events to attend.
  2. In the top right corner of the page you will find a button that says Manage.
  3. The navigation menu can be accessed by clicking Events on the left side of the page.
  4. Select the Upcoming tab on the left side of the screen.
  5. When you find the event you want to send a message to, click the ellipses to the right of the event you want to send a message to.
  6. Send a message to registrants by clicking the Send Message to Registrants button.
    Note: Once you’ve sent an event-wide message to all registered attendees before the event begins, this option will no longer appear in the menu.
  7. It’s a good idea to write a message to your registrants in the Message to your registrants field.
  8. Please click the Send button to send your message.

Upon completion of an event, the following message should be sent to all registrants:

  1. Attend Zoom events by logging in with your Zoom account.
  2. To manage your account, click the Manage link at the top right of the page.
  3. Select Events from the navigation menu on the left side of the screen.
  4. To access the History tab, click the History button.
  5. Find the event you want to message, then click the ellipses to the right of that event.
  6. Then click the Send post-event message to registrants button.
    Note: Once you have sent an event-wide message to all registrants after the event has ended, this option will no longer be available for selection in the menu.
  7. Message to your registration box Here you can write a message to the registrants of the event.
  8. Please click the Send button to send the message.

How to send an event-wide message to a specific event in an event series

In order to send an event-wide message to all registrants prior to the start of a specific event in an event series, the following instructions must be followed:

  1. Attend Zoom events by logging in with your Zoom account.
  2. The Manage button is in the top right corner of the page.
  3. Click on Events in the navigation menu.
  4. You can access the Upcoming tab by clicking on it.
  5. Click the ellipsis to the right of the event series you want to send a message to, and then find the event you want to send the message to.
  6. You can send a message to all registrants by clicking Send Message.
  7. From the drop-down menu that appears, select the event you want to send a message to.
    Note:
  8. Once you have sent a message to the registrants of that event, once the selected event has been removed from the dropdown menu, it will no longer appear in the dropdown menu.
  9. Click the Send button when you are finished writing your message to the event registrants.

In the case of a specific event in a series of events that have taken place in the past, an event-wide email can be sent to all registered persons after the event has ended:

  1. Join Zoom events by logging into your account.
  2. In the top right corner of the page you will find a Manage button.
  3. Click the Events link in the navigation menu on the left.
  4. To view the past, click the Past tab.
  5. Click the ellipsis to the left of the event series you want to send a message about, and then select the message you want to send.
  6. Then click the Send Post-Event Message to Registrants button.
  7. If you want to send a message to a specific event you need to select it from the drop down menu.
    Note: It’s important to note that once you’ve sent a message to the registrants of a specific event, the selected event will no longer appear in the drop-down menu.
  8. When you have finished writing your message to the attendees of the event, click the Send button.
