How do you use a whiteboard in your Microsoft Teams video conference?

If you want to brainstorm and sketch ideas with your colleagues during a Teams meeting, you don’t have to hold a piece of paper in front of the webcam. With the help of a virtual whiteboard, you can brainstorm and scribble with your colleagues directly in Teams . The use of the integrated whiteboard is currently limited and therefore does not work on all devices. As an alternative, in the second section we will show you how to add the Freehand by InVision whiteboard.

Use Microsoft’s whiteboard feature

You can access Microsoft’s integrated whiteboard during a video conference using the ” Share ” button. After clicking the button, go to the ” Microsoft Whiteboard” on the right under ” Whiteboard “:

This option is only available during a meeting, so you cannot use it in a private call. After the whiteboard has been started, all participants in the video chat can draw freehand notes on the whiteboard. To do so, simply click on the pen icon . In addition, you can also choose a color for your notes by double-clicking the pen icon. Other elements, such as images, templates, and reactions, can also be added.

Use Freehand by InVision whiteboard

How to use Microsoft Teams Whiteboard

Step 1:

During an ongoing video conference, you must click on the window icon with the arrow . It is located in the menu bar at the bottom, which can be opened with a mouse movement.

Step 2:

Then select the program ” Freehand by InVision ” under ” Browse ” on the right.

Step 3:

Normally Freehand is not installed on your computer, but you can change this by clicking ” Add “.

Step 4:

Now you have to register with Freehand (” Sign in “). If you do not have an account yet, you can create a free account by clicking ” Sign up “.

Step 5:

Now you need to click on ” New Freehand ” on the right to create a new whiteboard.

Step 6:

Select your account and then click ” Save ” below.

Step 7:

Now you can draw whatever you want on your whiteboard. You can share your whiteboard drawings live with the other participants using the triangular symbol at the top right.

Quick guide

1. Start a conference call in Teams. Then click the window and arrow icon .
2. On the far right of ” Browse ” you will see two options. Select the bottom one ” Freehand by InVision “.
3. If Freehand is not yet installed on your computer, you must now ” Add ” it. Then create a free account or log in.
4. You can then open a new whiteboard page using ” New Freehand “. You then need to select which account the page should be assigned to and press ” save “.
5. Now you can draw whatever you want on the whiteboard. You can make your whiteboard live using the small triangle symbol at the top right. This way, everyone can see what you are writing or drawing.
